Adams & Martin Group has partnered with an established and highly respected litigation firm is seeking an experienced Senior Litigation Secretary to support one of the firm's most successful and busiest trial attorneys. This is a unique opportunity to assume a highly visible role previously held by a dedicated professional who spent more than two decades with the firm.

The attorney maintains a substantial litigation caseload across multiple practice areas and relies heavily on an exceptional secretary who can anticipate needs, maintain organization, and ensure flawless execution of critical litigation tasks. Position Summary

The Senior Litigation Secretary will provide comprehensive support to a prominent trial attorney handling complex litigation matters. The successful candidate will be responsible for managing a demanding practice, maintaining critical deadlines, preparing sophisticated legal documents, coordinating filings, and ensuring cases move efficiently through all phases of litigation.

This role requires an individual who is proactive, exceptionally organized, technologically savvy, and capable of juggling numerous priorities while maintaining a high level of professionalism and attention to detail.

Key Responsibilities

Litigation Support

  • Prepare, revise, proofread, and finalize pleadings, motions, discovery, correspondence, briefs, and other litigation documents.
  • Manage state and federal court filings, including electronic filing and service.
  • Maintain and monitor a high-volume litigation calendar, including hearings, depositions, mediations, arbitrations, trials, and related deadlines.
  • Calculate and track court deadlines and procedural requirements.
  • Coordinate scheduling among clients, experts, opposing counsel, court personnel, and vendors.
  • Prepare hearing, mediation, arbitration, and trial notebooks and materials.
  • Organize and maintain electronic and physical case files.
  • Assist with document production and discovery management.
  • Ensure all filings, pleadings, and related documents comply with applicable court rules and formatting requirements.

Attorney Support

  • Manage a busy attorney's day-to-day workflow and priorities.
  • Anticipate attorney needs and proactively identify potential issues before they arise.
  • Serve as a trusted resource and point of coordination for clients, staff, experts, and opposing counsel.
  • Handle confidential information with discretion and sound judgment.
  • Support trial preparation from case inception through verdict or resolution.

Qualifications

Required

  • Minimum 7+ years of litigation secretary experience.
  • Extensive experience supporting a busy litigation attorney or partner-level attorney.
  • Advanced knowledge of California state court and federal court procedures.
  • Extensive e-filing experience in both state and federal courts.
  • Strong calendaring and deadline-management skills.
  • Exceptional legal document preparation and formatting abilities.
  • Advanced proficiency in Microsoft Word, Outlook, Adobe Acrobat, and related legal software.
  • Experience managing high-volume litigation matters simultaneously.
  • Excellent grammar, proofreading, and communication skills.

Preferred

  • Trial preparation experience.
  • Experience supporting complex civil litigation practices.
  • Familiarity with modern litigation technologies, document management systems, and AI-powered productivity tools.
  • Stable employment history demonstrating longevity and commitment.
